What we collect

Depending on how you interact with us, we may use:

your name, job title, organisation, business contact details and LinkedIn profile;
booking, invoice, attendance, account, Content Hub entitlement and communication records;
dietary, accessibility or other event requirements you choose to provide;
marketing preferences, feedback and your interactions with our emails; and
website and device information, such as IP address, browser, pages viewed and cookie choices.

Payment providers process card details for us. We normally receive payment status and billing information, not your complete card details.

Information usually comes from you. It may also come from your employer or a colleague making a group booking, an event or referral partner, our service providers, or public professional sources such as LinkedIn.

We need basic identity, business contact and payment information to manage a booking or account. If it is not provided, we may be unable to supply the requested service. Other information is optional.

How and why we use it

UK data protection law requires a lawful basis for each use of personal information. The bases we normally rely on are:

Contract: To take bookings, collect payment, issue joining information, administer attendance and provide included Content Hub access.
Legitimate interests: To organise useful professional events, support networking, respond to enquiries, improve our work, protect our systems and send relevant business-to-business communications where permitted.
Legal obligation: To keep required financial records, respond to lawful requests and meet other legal duties.
Consent: For optional marketing, sponsor follow-up or sensitive information where consent is required. You may withdraw consent at any time.

If dietary or accessibility information reveals health, disability, religion or another sensitive matter, we use it only to respond to your request and, where required, with your explicit consent.

We do not use solely automated decisions that have legal or similarly significant effects on you.

Who we share it with

We share only what is reasonably needed with:

venues, caterers, badge or event suppliers and other contractors helping us deliver an event;
providers of ticketing, payments, CRM, email, websites, analytics and the Content Hub;
your employer or group booker where needed to administer its booking;
event attendees, speakers, sponsors or partners where this is clearly explained and supports the event or agreed follow-up; and
professional advisers, insurers, regulators, courts or authorities where necessary.

We may also disclose information as part of a sale, merger or reorganisation of the business, subject to appropriate confidentiality. We do not sell personal information.

Sponsors and event networking

Some events include professional networking and relevant follow-up by event sponsors. When this applies, we explain the arrangement at booking. We may share limited details such as your name, job title, organisation and business contact details where we have a valid lawful basis.

You can object or opt out before the event or at any time by emailing us. Opting out will not affect your place. A sponsor receiving information is responsible for its own subsequent use of it.

International services

Some technology providers may process information outside the UK. When a country is not covered by UK adequacy regulations, we use a recognised safeguard such as the UK International Data Transfer Agreement or UK Addendum, together with appropriate checks. Contact us if you would like more information about a relevant safeguard.

How long we keep it

We keep information only for as long as it is needed for the purpose described, our relationship with you, legal and accounting requirements, or a possible dispute.

Financial and booking records are normally retained for six years. Event accessibility and dietary details are removed when they are no longer needed after the event. Marketing records are reviewed and removed when they are no longer relevant, while a minimal suppression record may be kept so we continue to respect an opt-out.

Your rights and choices

Depending on the circumstances, you may ask us for access to your information, correction, deletion, restriction, objection or transfer. You may also withdraw consent where we rely on it. These rights can have legal limits.

Your right to object to direct marketing

You can stop our marketing at any time by using the unsubscribe link in an email or contacting us. You can also object to sponsor-related sharing or follow-up. We will not charge you or affect your event attendance for doing so.
